Ontario Teachers' collects and uses personal information about Plan members who utilize the site, in order to provide services to Plan members, administer the Plan, and manage Ontario Teachers' investment fund. Personal information is information about an identifiable individual which is private in nature and not readily available publicly.
It is important for Ontario Teachers' to maintain accurate and up-to-date information about Plan members (including survivorship information) in order to contact Plan members and affected persons, and to administer the Plan. Plan members' information may also be shared with participating employers or third parties when it is necessary for administering the Plan, or for Plan members to receive technical or other services. For example, third parties may include a financial institution to whom payments are required to be made, government agencies in accordance with their statutory authority, another pension plan (on transfer of a pension), or service providers (for example actuary, auditor, legal advisor, third party payroll processor, or other service provider or contractor to Ontario Teachers'). Some third parties may be located outside of Canada, in which case personal information shared with them will be subject to the laws of the country in which the service provider is located. That country may have laws that require that personal information be disclosed to government bodies or courts under different circumstances than would apply in Canada. Whenever personal information about plan members is transferred, contractual arrangements that impose confidentiality and data protection obligations on the recipients are in place. Ontario Teachers' does not sell personal information to other organizations or individuals.
Ontario Teachers' employs safeguards designed to protect personal information against loss or theft, as well as unauthorized access, disclosure, copying, use or modification. The methods of protection include:
- physical measures (e.g., locked filing cabinets and restricted access to offices);
- organizational measures (e.g., limiting access on a "need to know" basis); and
- technological measures (e.g., the use of passwords, encryption technology, firewalls, etc.).
The site may employ cookies or other similar technologies to evaluate the performance and functionality of the site. This information may include the pages visited, the type of web browser used, the level of encryption supported by your web browser, as well as your Internet Protocol (IP) address. Ontario Teachers' may also use such technologies to collect information about online activities and preferences. Examples include, but are not limited to, web pages visited, length of visits, and successful downloads. This information may be used together with other information to:
- help us better understand your interests and needs;
- provide you with a customized online experience; and
- present new tools and site functions.
In using this site, Plan members should be aware that no Internet transmission or computer system is ever 100% secure or error-free, despite reasonable efforts by Ontario Teachers' to operate the site securely and accurately.
