Missing Data Needed for Annual Statements*
Special Notice to Employers
October 5, 2001
Around this time each year, we produce a statement of benefits for plan members. This statement is one of the most important documents we provide to our members—they rely on it to plan their retirement.

Thanks to the number of employers who have switched to payroll-based reporting, more than half of members will receive more current annual statements (service to August 31, 2001). However, while many members now receive more current annual statements, some are in jeopardy of not receiving one this year.

Qualifications
We cannot produce annual statements for several thousand members until we verify their qualifications. The report we’ve created lists your employees that are currently identified as being ineligible to contribute to our plan for the period in question.

Please do one of the following when the message is “Confirm qualifications”:

  • If member was teaching under a Letter of Permission, send us a copy.
  • Instruct us to delete the service and salary for the ineligible period and provide us with the applicable service and salary for the qualified period. We will return contributions for ineligible periods during the reconciliation process.
Start Date
The first day worked is important to accurately calculate members’ qualifying credit. We’ve received service information for many members but have no start date of employment on record.

Please do the following when the message is “Provide start date”:

  • Confirm the member’s first day of paid employment in the school year.
If you currently report on a payroll basis, you will only be required to provide this information for service reported on an annual basis.

Working with the report
Please review the report sent with this notice and send us the missing information as soon as possible. If a SIN appears without a name, please provide us with the first and last name of the member. Where possible, please send us the information in an electronic format.

By providing us with this missing information, we’ll be able to produce annual statements for members whose records currently have incomplete service information. In addition, if you haven’t reconciled your account, we’ll be able to delete the related error messages that appeared on your discrepancy report for that year.

If you require assistance with the data extract, or would like us to visit your office to assist you, please let us know. We’d like to help you in any way we can to ensure we receive the missing information as soon as possible.

*This special notice was only sent to employers with missing data.
