If you report on a payroll basis, you no longer have to provide your new employees with Enrolment Forms (0145). When we identify new employees from your payroll transmissions, we automatically enroll each new member.
Payroll-based reporting process
Using the information from your payroll transmission, we will send an information package to the member’s home. This package includes a letter welcoming them to the plan, the brochure entitled Your Pension Plan Guide and an Information Update (0146) form. Members will be asked to complete the “Spousal information” and “Beneficiary designation” sections on this form and return it to us as soon as possible.
You no longer need to keep or make copies of enrolment forms if you report on a payroll basis. If your payroll transmission doesn’t include addresses, we will conduct an address search to obtain this information.
Annual-based reporting employers process remains same
If you currently report on an annual basis, your procedure remains the same. When you hire new employees, ask them if they are currently members of the plan and if they have completed an Enrolment Form (0145). If they haven’t, give them an enrolment form, ask them to complete it as soon as possible and return it to us.
Reminders
When you know employees’ personal information has changed since they first joined the plan (i.e. spousal, beneficiary), please continue encouraging them to complete an Information Update Form (0146).
